IonLabs LLC (“IonLabs,” “we,” “us,” or “our”) builds and operates AI systems for businesses. This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.

1. Who we are
IonLabs LLC is a Nevada limited liability company based in Las Vegas, Nevada. We design, build, and manage AI systems for small and mid-sized businesses — including AI phone receptionists, automated lead follow-up and CRM workflows, and website hosting and maintenance.
This policy applies to ionlabs.ai and our other IonLabs-branded sites, forms, and communications. It does not apply to third-party websites we link to, which have their own privacy practices.
2. Information we collect
Information you give us
- Contact details — name, business name, email address, phone number, and anything else you enter into a form, send us by email, or tell us on a call.
- Business information — details about your company, industry, current tools, and goals that you share so we can scope a solution.
- Scheduling information — when you book a consultation, the date, time, and details you provide through our scheduling tool.
- Messages — the content of emails, SMS, social media direct messages, and support requests you send us.
Information collected automatically
- Device and usage data — IP address, browser type, device type, pages viewed, referring page, and approximate location derived from IP.

Information from other sources
- Publicly available business information — for business-to-business outreach, we may obtain business contact details (such as a company email address, business phone number, website, or public social profile) from publicly accessible sources and business data providers. We use this only to contact businesses about our services, and we honor opt-out requests immediately.
- Advertising and social platforms — if you interact with our ads or message us on a social platform, that platform may share limited information with us, such as your profile name and the content of your message.
3. AI calls, recordings & messaging
Some of our phone numbers are answered by an AI voice assistant rather than a human. Please read this section carefully.
- You are talking to AI. Our AI assistants identify themselves as such. You may ask at any time to be transferred to or contacted by a person.
- Calls may be recorded and transcribed. When you call a number we operate, the call may be recorded, transcribed, and summarized so we can respond accurately, keep records, and improve our service. Where notice or consent is required by law, we provide notice at the start of the call, and you may end the call or ask us not to record.
- Transcripts and summaries are stored in our internal systems and treated as described in this policy.
- SMS and messaging. If you provide a phone number and ask us to text you, we may send messages related to your inquiry, booking, or account. Message and data rates may apply. Reply STOP to any message to opt out and HELP for help.
- We do not use automated marketing calls or texts to people who have not asked to hear from us. We contact you by phone or text only where you have requested it or where the law otherwise permits.
4. How we use information
- To respond to your inquiries, schedule and conduct consultations, and provide quotes.
- To deliver, operate, maintain, and support the services you have engaged us for.
- To process payments, invoice you, and keep financial and tax records.
- To send service and account communications, such as confirmations, changes to a service, or billing notices.
- To send marketing communications about IonLabs, where permitted — you can opt out at any time.
- To monitor, secure, troubleshoot, and improve our websites, systems, and the AI systems we operate.
- To detect, investigate, and prevent fraud, abuse, and security incidents.
- To comply with legal obligations and enforce our agreements.
We do not use the content of your communications to train publicly available, general-purpose AI models.
6. Data belonging to our clients' customers
When we operate a system for a business client — for example, an AI receptionist that answers that client's phone line, or a form on a website we host — we process the resulting information on that client's behalf and under their instructions. In that role our client is responsible for the information, and their own privacy policy governs how it is used.
If you interacted with an IonLabs-built system belonging to another business and want to access or delete your information, please contact that business directly. You may also contact us and we will route your request to the appropriate client.
7. Payments
Payments are processed by Stripe. When you pay us, your card or bank details are collected and processed directly by Stripe under Stripe's own privacy policy. IonLabs does not collect or store full payment card numbers or bank account credentials. We receive limited transaction information such as the amount, date, payment status, the last four digits of the instrument, and the billing name and contact details you provide.
9. How long we keep information
We keep personal information for as long as needed for the purposes described in this policy — typically for the duration of our relationship with you and for a reasonable period afterward — and then delete it or de-identify it. We keep records longer where required for tax, accounting, legal, or dispute-resolution purposes. Call recordings and transcripts are retained only as long as needed for the purpose they were created, unless a longer period is required by law.
10. Your rights & choices
Depending on where you live, you may have the right to:
- Know and access the personal information we hold about you and how we use it.
- Correct inaccurate personal information.
- Delete personal information, subject to legal exceptions.
- Opt out of the sale or sharing of personal information. As stated above, we do not sell or share personal information for cross-context behavioral advertising.
- Not be discriminated against for exercising these rights.
Nevada residents: Nevada law allows Nevada consumers to direct a business not to sell certain personal information. We do not sell personal information as defined by that law, but you may still submit a request using the contact details below.
To exercise a right, email hello@ionlabs.ai with the subject “Privacy request.” We will verify your request — usually by confirming control of the email address or phone number we have on file — and respond within the time required by applicable law. You may use an authorized agent where the law permits.
Marketing opt-out: click “unsubscribe” in any marketing email, reply STOP to any text message, or email us. Service and billing messages relating to an active engagement will continue.
11. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encrypted connections, access controls, and limiting access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.
12. Children
Our services are intended for businesses and are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. If the changes are significant, we will provide a more prominent notice. Your continued use of our sites and services after an update means you accept the revised policy.
